These are some of the benefits you'll get by submitting your project to RU's digital project library.

Roskilde University Library has turned towards electronic submission of student project reports. If you wish to deposit an electronic copy of your report in RU's digital project library, you should do the uploading yourself. For information on how to do it, please refer to the step-by-step guide. Your report will be searchable in the report database of Roskilde University Library as well as in Google.

When you upload your student project report, it is accessible for anyone, so remember to remove your CPR-number as well as other personal information, which is of no interest to the public.

If you submit an electronic copy of your report, you don't have to submit a print copy for RUC's exam archive. You'll get a receipt for the submission in your RUC-mail as a proof, that your report has been archived.

If you do not want to give the public acces to your project, you still have to submit a print copy for the archive together with a filled-out form to the secretary in your house. This copy will be kept in RUC's exam archive.

How to upload your thesis in DSpace, step by step

  1. Start by converting your project report to PDF-format (see tab Converting to PDF).
  2. Go to www.rucsdigitaleprojektbibliotek.dk/mydspace and log in with your RU password.
  3. Click <Start a new submission>
  4. Select a submission type: "Projektrapport/thesis", <start submission>
  5. Select your subject (collection) or combination of subjects, <next>
  6. Indicate whether your thesis has more than one title and whether it contains more than one file, <next>
  7. Fill in the fields marked with an asterisk (*), <next>
  8. Your abstract may be included in DSpace. Subject headings may be added, if desired. <next>
  9. Upload file, <next>
  10. Approve the selected file by pressing <next>. If you select a wrong file by mistake, press <wrong file>, upload the right file and <approve>. Then continue by pressing <next>
  11. You may now proofread and correct your submission if necessary. Then continue by pressing <next>
  12. Read the licence and click <I grant the licence> if you accept
  13. You will automatically receive the permanent web address of your report by email

As author and on behalf of any coauthors of the RU student report cited above I grant Roskilde University Centre the permission to archive a digital copy of the report in the institution’s digital archive, and to give public access to read, download and print the document for personal use.

I do declare that the report does not contain material that infringes upon any-one’s rights.

The report may not be used for commercial purposes. Citations must give credit to the author(s). The author(s) retain the full copyright and may at any time recall this permission and withdraw the report from the archive.

Procedure for submitting project reports

Please note
Submitting of project reports for examination purposes is not the same as submitting projects to the archive/library.

Procedure for submitting Basic Studies reports
A print copy of the report must be submitted together with this form. Students wishing to grant other students electronic access to their project reports must store their reports in RU's digital project library.

Procedure for submitting Degree program reports
A print copy of the report must be submitted together with this form. Students wishing to grant other students electronic access to their project reports must store their reports in RU's digital project library. During a transition period it will still be possible to have paper copies shelved as well. Students wanting to do so must submit 1 to 2 copies to the library.


Converting to PDF
The project report should always be submitted as an Adobe PDF file. There are several ways to make PDF-files depending on operating system (Microsoft Windows, Machintosh, Linux). Students who don't already have a PDF converter may use one of the freeware solutions below. However, they may prefer to purchase Adobe Acrobat, which can be used for the same job.

On campus
On campus most computers allready have a PDF-converter. At the library there are two PC's with PDF-converters.

Microsoft Windows
Download PDFCreator (16mb) and install the program on your Windows computer. Then take the following steps to create a PDF-file:

  1. Open the file containing your report
  2. If you have Windows Vista, start PDFCreator
  3. Chose Print
  4. Select the new printer "PDFCreator" and print the file
  5. Click on the the new icon on the desktop named "PDFCreator"
  6. Name the PDF-file
  7. When clicking "Save" you will be asked where you wish to save your new PDF-file
Make shure that the PDF-file contains your report and that it looks like the original version. Submit this new file to "RU's digital project library".

Machintosh & Linux
These systems usualy comes with a build-in PDF-converter.

FAQ - Frequently Asked Questions

Question:Will the report be searchable in the catalogue of RU student project reports?
Answer:Yes! Project reports in digital form will also be searchable in the library catalogue RU student reports, but without full text search facilities. Only the title, the author(s), the author(s) study programme, and subject headings are searchable fields.
 
Question:How do I submit my document?
Answer:RU's digital project library is based on a self-archive principle. You may access the interface for submissions by way of Portalino or directly http://www.rucsdigitaleprojektbibliotek.dk. You can log in by using your usual RU login. See step-by-step.
 
Question:What are the university’s obligations regarding electronic preservation of my project re-port?
Answer:The university stores a print copy of your project report as part of the university’s official archive. When you submit your project report in digital form, the purpose is to distribute your project, so that others may read and cite from it. Your project report should be submitted i pdf-format. This is the only text format which the university will seek to secure on a long term basis.
 
Question:How will my project report be copyright protected?
Answer:When you submit your project report to the digital project library you accept a licence declaration specifying how other users are licenced to use your report. This declaration will be accessible on the site from where your report may be accessed.
 
Question:How do I convert my report to pdf format?

Question:How do I protect my project report against plagiarism?
Answer:You may protect your pdf-file against the cut-and-paste function. However, if you do so, your report will not be full-text searchable.
 
Question:How can I withdraw my document from the digital project library?
Answer:As (co)author you may contact the library (projektbiblioteket@ruc.dk) and ask to have your docu-ment removed.
 
Question:How will my project report be accessible?
Answer:If your report has been submitted in PDF format, it will be full text searchable in RU’s digital archive. Information on the title, the author(s), etc. will be searchable in Google. Moreover, this information will be harvested by other international databases containing academic theses and dissertations. In the library’s catalogue, information on the titles and author(s) of digital project reports will also be searchable. In addition, the catalogue has a link to the digital version.
 
Question:Are there differences in browser functionality?
Answer:We aim at full functionality in newest versions of the most common browsers.
 
Question:What if the project report fullfills different module requirements for different co-authors of the report?
Answer:When submitting a project report the co-authors may choose several subjects for each report. If you don’t find your study program and module on the list, please contact us (projektbiblioteket@ruc.dk) and let us know.
 
Question:How do I refer to my project report?
Answer:When your project report has been uploaded to the project library, you will recveive a mail contain-ing the permanent web address for your project report.
 
Question:Why is my project report not serarchable immediately after my submission?
Answer:When you have submittet your project report, the data you have submitted will be checked by the library, before the report will be uploaded.
 
Question:I have a project report consisting of more than one file. How do I submit?
Answer:If your project report is a document consisting primarily of text, you should submit it as one PDF file. If your report consists of more than one file type (e.g. appendices in video format), you may submit several files. In that case, check the box “The item consists of more than one file” when you start submitting.
